Managed AI Workspace
The difference between a generic assistant and one that knows your cost codes, your clients, your standards, and every job you have already closed. We build your company a private AI working environment, connect it to the systems you run, and keep it current.
The Limits of Generic AI
A public AI tool is genuinely capable and completely ignorant of you. It has never seen your cost structure, does not know which general contractor pays in forty-five days, cannot recall how you priced the last job of this type, and has no access to the contract sitting in your file server. So every useful request begins with a paragraph of context, and the quality of the answer depends on how well whoever is typing happens to explain the company that day.
A managed workspace removes that ceiling. The context is already loaded, the connections are already made, and the procedures your office repeats are already built. Your team stops briefing the tool and starts using it.
The Five Layers
Your Company Knowledge
Your closed jobs, contracts, specifications, bid history, standards, and correspondence, indexed so the system answers from your record rather than from general knowledge. This is the layer that makes everything above it worth having.
Connections to Your Systems
Secure, permissioned connections into your accounting platform, project management software, file storage, and email, so the workspace works with live information instead of a copy that went stale last quarter.
Skills for Your Recurring Work
The tasks your office repeats every week, built once as reliable, repeatable procedures your team can run by name instead of re-explaining the job each time.
Standing Memory of How You Operate
Your cost code structure, your clients and their requirements, your markup conventions, your submittal standards, and the decisions your company has already made, held persistently so no one re-teaches them daily.
Governed Access by Role
What each person and each automation may reach, enforced at the data layer and logged. Your estimators, your controller, and your field crews each see what belongs to them.
What Changes Day to Day
Answers From Your Own Record
A question about how your company handled a similar scope is answered from the actual job, with the source attached, rather than from a plausible guess.
No Re-Explaining Your Business
Standing memory means no one starts by describing your cost codes, your specialty, or your standards. That context is simply present.
Consistency Across Your Staff
The same task performed by two people produces work of the same standard, because both are running the same skill against the same knowledge.
Institutional Memory That Stays
When an experienced estimator retires, what they knew about your clients and your pricing history remains available to the company.
One Governed Environment
Instead of staff quietly using half a dozen public tools with company information, the work happens in one place you control and can audit.
A Foundation for Every Build
Each automation we build afterward draws on this layer rather than rebuilding its own understanding of your business from scratch.

It knows your jobs because it has read them.
The Build Process
Knowledge Intake
We identify which of your records carry the institutional knowledge worth indexing, and which are noise. Not everything belongs in the workspace.
Environment Build
The private workspace is provisioned, your knowledge base is indexed, and access roles are configured against your org chart.
Connection & Skills
System connections are established and the first set of skills is built around the tasks your team repeats most.
Team Onboarding
Your people are brought in role by role, on their own live work, with the internal champion trained alongside them.
Ongoing Curation
Knowledge is kept current, skills are added as needs surface, and new capability is folded in as it ships. This is retainer work.
Workspace Questions We Hear
Is our information used to train anyone's model?
No. Provider terms, data residency, and retention are settled in writing during setup and documented in your governance framework. Your records stay yours.
Do we have to move our files somewhere new?
No. The workspace indexes and connects to where your documents already live. Relocating your file storage is not a prerequisite and we would not recommend it as one.
How is this different from just buying licenses for a chat tool?
Generic AI licenses give your team capability without operational context. This gives them a system that has indexed the project records you provide, can reach your accounting platform, and performs your recurring procedures the same way every time. The license is a component of it, not the thing itself.
Who maintains it once it is running?
Curation is ongoing work: knowledge goes stale, skills need adding, and capability changes monthly. That sits under the managed retainer, which is why a workspace is normally paired with one.
Can it make decisions for us?
It drafts, retrieves, and prepares. Anything that commits money, accepts risk, or reaches a client is routed to a person for approval, and that boundary is written down before the workspace goes live.
